The following information is intended for exhibition organisers at institutions wishing to borrow items from the Swiss National Library (NL) for exhibitions or events. They apply to the General Collections of the NL, the holdings of the Swiss Literary Archives, the Prints and Drawings Department and the Centre Dürrenmatt Neuchâtel.
The loan request for external exhibits, together with a definitive list of the items concerned, must be completed and submitted in electronic form at least three months before the start of the planned exhibition or event.
Items may only be exhibited subject to the following conditions:
- UV-free artificial light only, with a maximum illuminance of 50 lux
- temperature of 20°C (± 2°C)
- relative humidity of 50% (±5%)
The Preservation and Conservation Service will assess the suitability of the desired items for exhibition, as well as the conditions of exhibition set out in the loan request. If the items are deemed suitable for exhibition, they will be approved for loan for a period of no more than 3 months. The institution submitting the request will be notified of the decision. If permission is granted, the NL will draw up a loan agreement which will be sent to the borrower for signature.
Questions relating to any part of the procedure should be addressed to those in charge of the collection in which the items are held.
The Preservation and Conservation Service will compile a report detailing the condition of the items. It is responsible for packing the items and determining the means of transport to be used. The items will be handed over to the borrowing institution's transport operator once the loan agreement has been signed by both parties, but no earlier than 14 days before the exhibition begins. Conventional dispatch by letter or parcel is not permitted.
The items loaned must be returned to the Preservation and Conservation Service of the NL by the borrowing institution's transport operator no later than 14 days after the exhibition or event ends. The Preservation and Conservation Service will check them against the condition report originally compiled.
Loan requests for exhibitions, together with a definitive list of the items to be loaned, must be submitted no later than 3 months before the exhibition or event begins. Sufficient time must be allowed for the items to be prepared. In the event of failure to adhere to this deadline the NL cannot guarantee that the item will be loaned.
Items will be loaned for a maximum of 3 months.
Items will be handed over to the borrowing institution’s transport operator no earlier than 14 days before the exhibition or event begins.
Following expiry of the agreed loan period, the items must be returned to the Preservation and Conservation Service of the NL without delay and in any event within 14 days.
